Why month-end feels broken
Most NDTMS stress is not caused by the XML file. It is caused by incomplete Episodes, missing TOPs, unlinked SIRs, and spreadsheet reconciliations that only start when the deadline is visible on the calendar.
Services that stay calm treat NDTMS fields as part of everyday casework, then generation is a check, not a reconstruction project.
A simple weekly rhythm
Pick a fixed weekly slot (30–45 minutes) for an NDTMS hygiene pass:
- Open Episodes without expected modality or end dates
- TOPs due at start, review, or discharge that are still outstanding
- CIRs approaching or past their interval
- SIRs not linked to the correct Intervention
- Clients discharged in the period without a completed exit pathway
Validate before you generate
Waiting until export day to discover validation errors guarantees overtime. Clear structural issues (missing dates, invalid codes, mismatched Interventions) as soon as your system flags them.
In GreenShoots, NDTMS validation runs against current rules before dataset generation, so staff fix the client record rather than patching a file.
Month-end in three steps
When the period closes:
- Confirm every active service pathway has been covered by the weekly checks
- Generate the dataset and spot-check counts against your caseload expectations
- Archive the submission pack and note any process gaps for next month
How GreenShoots removes the scramble
GreenShoots captures Episodes, Interventions, TOPs, SIRs, and CIRs inside normal workflows, prompts staff at the right journey points, and includes OHID specification updates in your subscription.
