The visitor book has one job, and it fails at the worst moment
When the alarm goes, the paper book is on the desk you've just left. It doesn't tell you who signed out, who's still upstairs, or what the contractor in the plant room looks like.
And every visitor who signs it sees the names of everyone before them — in a service where simply being on the premises is sensitive personal information.

Look at the camera
The tablet takes a photo. If the person has been before, it can recognise them and skip straight to the end.

New visitors type their name and who they're with — a social worker, a contractor, a family member.

They pick the staff member or resident they've come to see, so you know who's expecting them.

Read and accept the visitor policy
Your own policy wording, shown on screen and accepted before they go any further.

Fire register
A roll call you can take outside with you
Everyone who signs in — staff, residents and visitors — appears on one live register. Anyone who hasn't signed out is still in the building.
Open it on a phone at the assembly point and you have names, photographs, and who each visitor came to see. No handwriting to decipher, no wondering whether the page got torn out.

We use facial recognition to make signing in and out quick and easy for visitors, clients and staff. Once someone has been through Reception, the tablet can recognise them next time — so returning people barely break stride, whether they're arriving or leaving.

Nobody sees anyone else's details. Each visitor sees only their own sign-in, and the record goes straight into GreenShoots alongside the rest of your information — held to the same standards, visible only to the staff you've given access.
